Privacy Policy
Last updated: October 13, 2026
This policy explains what personal information we collect when you visit sweetjusticesound.com or get in touch with us, what we do with it, and your rights.
We keep it short because we collect very little.
Who we are
Sweet Justice Sound Group is the trading name of Sweet Justice Sound Ltd, a company registered in England and Wales (company number 09670591), and its US sister company, Sweet Justice Sound Inc.
Sweet Justice Sound Ltd is the controller of personal information collected through this website. That means we decide how it is used and we are responsible for it under UK data protection law.
Registered office: Amelia House, Crescent Road, Worthing, BN11 1RL, United Kingdom
Privacy questions or requests: [email protected]
We are not required to appoint a Data Protection Officer, and we haven't. Your email will reach the people responsible for privacy at the company.
This policy does not cover personal information we handle on behalf of clients as part of our audio work, for example voice recordings or cast details on a game project. In that work our client is the controller, and their privacy notice applies.
What we collect
- When you email us: your name, email address, anything you include in your message, and any attachments. This covers project enquiries, job applications, showreels, portfolios and collaboration proposals.
- If you work with us or for us: business contact details such as your name, job title, company, email and phone number.
- When you visit the website: technical information our hosting and security providers record automatically. This includes your IP address, browser type, the pages you request, and the date and time. It is used to keep the site running and secure.
We don't use analytics or advertising tools on this website, so we don't track how you browse it.
We don't ask for sensitive information such as health details. Please don't send it to us. We don't use your information for automated decision-making or profiling, and we don't sell it.
Why we use it and our lawful basis
UK data protection law requires a lawful basis for each use of your information. Ours are:
- Replying to your enquiry and discussing potential work: legitimate interests (running our business and responding to people who contact us)
- Considering a job application, showreel or collaboration proposal: legitimate interests (finding people to work with)
- Delivering and invoicing client work, and keeping business records: contract, and legal obligation (tax and accounting)
- Keeping the website running and protecting it from abuse: legitimate interests (security and operation of our site)
- Responding to legal claims or requests from authorities: legal obligation, or legitimate interests in defending our rights
Where we rely on legitimate interests, we have weighed them against your rights. You can object at any time (see Your rights).
Cookies
This website does not use cookies, and we don't use analytics, advertising or tracking tools.
More details are in our Cookie Policy.
Who we share it with
We only share your information with:
- Service providers that run our website and email, including website hosting, security and content delivery, content management, and email. They process data only on our instructions.
- Sweet Justice Sound Inc. (US), our sister company, if your enquiry is handled by our US team.
- Professional advisers such as accountants and lawyers, when needed.
- Authorities, where the law requires it.
- A buyer or investor, if all or part of our business is ever sold or restructured. They would be bound by this policy.
International transfers
Our team works across several countries, and some of our providers are based outside the UK, including in the US and the EU. When your information leaves the UK, we make sure it is protected. We rely on UK adequacy regulations where they exist, or the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses where they don't.
How long we keep it
- Enquiries that don't lead to work: 2 years from our last contact
- Job applications, showreels and portfolios: 12 months, unless you ask us to keep them longer for future roles
- Client and supplier records: for the relationship, then 6 years for legal and accounting reasons
- Website logs: usually up to 30 days, as set by our hosting and security providers
After that we delete it or make it anonymous.
How we keep it safe
We use access controls, encryption and reputable providers to protect your information. Only people at Sweet Justice who need it can see it. No system is completely secure, but if a breach puts your rights at risk, we will tell you and the ICO as the law requires.
Your rights
You have the right to:
- access a copy of the information we hold about you
- correct information that is wrong
- have your information deleted
- restrict how we use it
- object to our use of it, including where we rely on legitimate interests
- receive it in a portable format
To use any of these rights, email [email protected]. It's free, and we will reply within one month. We may ask you to confirm your identity first. If you live in the US or elsewhere, you may have similar rights under local law. Contact us in the same way and we will help.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can try to put it right.
You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. If you live in the EU, you can contact your local data protection authority.
